The importance of organization cannot be overstated. Organization affects all areas of life. When, work, home, time, and space are organized, it frees time for fun and family. Many People Often Wonder Whether They Are Coming Or Going – Here is a Detailed Look At The Importance Of Organization.

Before beginning, realize a cluttered existence does not happen overnight, so the task of getting back on track will take some time and effort.  However, the end result will make life a lot easier and ultimately feel like a weight has been lifted off the shoulders.

Organizing Work

As a substitute teacher, imagine going into a classroom full of unknown students and having the dubious honor of teaching a semi-unfamiliar subject for an absent educator.  Generally, the job is challenging just by the very nature of the task.  Now, consider the added stress of a desk piled high with ungraded papers and files, with additional stacks on the floor surrounding the teacher’s chair.  Seriously, much of the day is spent in trying to find needed items, rather than presenting the material and helping the students.

Although it seems ridiculous and funny to deal with someone else’s disorganization, everyone should consider their personal office space, before being too critical.  How many hours per week are wasted simply trying to find something or arranging materials before beginning a task?

Most people are amazed to discover an average of 6 hours per week is spent in needless frustration.   Instead of working late and coming home exhausted, imagine coming home with the feeling of accomplishment, and having the extra time for leisure activities or family. So, before wasting any more time, start by:

1.    Getting rid of the clutter
2.    Organize the workspace in zones
3.    Frequency of Use
4.    Organize time


Clutter- Generally, individuals tend to save pieces of paper, notes, or items they will likely never need again.  The garbage can seems so final, or it is easier to plop an item on the desk and take care of it later. Even if packrat seems too strong of a label, consider the following rule of thumb when eliminating clutter: if you have not seen it, or used it, in the last 6 months, it is clutter.

Zones- Work usually entails a variety of tasks. Each element of the job requires a different stack of papers and supplies.  So, arranging a desk by zones for each duty will make it much easier to address the responsibilities at hand.  No more searching!

Frequency- People often stack anything and everything possibly needed on the desk.  Wrong!  It will actually save a lot of time and needless searching to organize by how often an item is used. 

For example, if the computer, phone, and notepad are sufficient to complete most daily tasks, keep them close at hand.  Likewise, a stack of files may represent the work agenda for the day.  Then, a corner of the desk should be designated for incoming or outgoing work.

However, the items used occasionally do not need to be cluttering the desk. For instance, rarely used files can be placed in a cabinet, behind the more current data. When needed, the information will be easy to find, but it will not impede efficiency in the meantime.

Time- In order to be efficient, organizing time is essential.  Start by determining what tasks need to be completed today and their order of priority.  Then, consider whether the job is truly a personal responsibility or will be better addressed through delegating to another worker.

Of course, a secretary cannot delegate his/her tasks to the janitorial staff.  However, some people have a “do it myself” attitude, when someone else is equally qualified and has the time to get the job done faster and more efficiently.

The first goal of becoming more organized has been addressed.  Following these 4 suggestions should make work a little more pleasant, leaving some energy and time for enjoying home.  But, in order to really relax and appreciate being home, the idea of organization needs to be addressed in the house as well.
